Minutes of June 24, 2006 Meeting

 

The NewSong Board of Elders met on Saturday afternoon, June 24, 2006 from 5:00 to 6:30pm at the Church office. Elders present included Steve Jackson, Brent Orr, and Curt Sloyer. Brian Brown arrived late. Dave Allen has been granted a sabbatical from the BOE until further notice.

 

The meeting included the following discussions:

 

Pastor Steve opened the meeting by talking about the Youth Outreach United partnership proposal (Drew Grubbs) to work with our youth. Steve had already sent a copy of the proposal to each Elder to review. We discussed the merits of partnering with Youth Outreach United and came to a consensus that this was a good avenue for us. The only question that came up was about references. Steve agreed to check with Drew to get some references and contact them to see what their experience has been with Drew and Youth Outreach. Barring any negative reports the group agreed Steve could advise Drew to begin effective July 16, 2006. A copy of this agreement is attached as an addendum to these minutes.

 

The next matter discussed was about a send-off for Jason Lee. Steve advised that Peggy Garred is coordinating a going away party for Jason and Rachael at the Allen home on July 9th. Steve asked that the Elders recognize Jason and publicly thank Jason in the worship service on the 9th (even though he’ll be here through the 23rd leading worship for us). The Elders present decided that since Brian Brown is the Elder of the month for July that Brian should coordinate this recognition moment during the service.

 

Brent Orr then presented his preliminary work on our 2006 budget. Brent has come up with a tentative number of revenues of $256,400 and expenses of $241,892. We then printed out the actual year-to-date income and expenses and a copy of the last fiscal year income and expenses from Quickbooks which Brent took with him. Brent will create a revised preliminary budget and then forward a copy to every one to look over. Our goal is to approve this budget at our next meeting (late July).

 

Steve then gave details and an explanation to the Elders about Dave and Sandra Allen’s sabbatical. Dave and Sandra have a lot going on this summer (mainly family illnesses) and need to focus on their family for a season. Steve said Jason Lee has agreed to lead worship through July 23 (the first Sunday Steve is back from Ghana). Then we’ll take it from there on a week-by-week basis. Hopefully Tom and Brian will take the lead for us here.

 

As for Dave’s duties, the Elders agreed that they would work with others in the church besides the Elders to get a schedule of offering counters and building lock-up people. Brent, as treasurer if you would help out with the offering counter schedule that would be great. There are several people in the church who would not mind helping out with this. Curt, if you could ask a few people to help out with lock-up that would also be great.

 

The next discussion involved the Children’s Ministry of NewSong. The Elders agreed this needs to be our next area of focus now that the youth ministry appears to be about to be worked out. Steve said a few church members had requested job descriptions for the position but nothing came of those. He also said we have received a few resumes for the position from our online advertising, but all these were out of state candidates and we don’t feel like they would relocate for such a small salary. It was decided we need to make this a higher priority within the church and follow up on all the leads we can get.

 

The final discussion was about the potential relocation of the church. Steve again expressed his concern that we need to get our own house in order before we consider relocating. It was again pointed out that our lease at Central Plaza expires or must be renewed in October. Steve said he’d follow up with the landlord to determine the procedure for renewing the lease or moving out and he will report back to the Elders in July. We also discussed approaching the landlord for a reduction in our rent.

 

The meeting adjourned at 6:30pm. The next meeting is tentatively scheduled for Saturday, July 29th at a time to be determined.

 


Youth Outreach United

Church Partnership Agreement

 

Church:           New Song Community Church

 

Youth Outreach United Ministry Team:  Youth Outreach United will provide a ministry team leader, a teacher, worship leader and an intern to help oversee the student ministry at New Song Community Church.

 

POSITION SUMMARY: This youth ministry team is responsible for the leadership of all activities, events, and ministry initiatives related to the Student Ministry (sixth grade through high-school) of the church.

 

POSITION RELATIONSHIP: The ministry team leader will directly report to the Senior Pastor

 

ESSENTIAL POSITION REQUIREMENTS:

 

Personal Qualities and Attitude for each team member:

  • positive and cheerful attitude
  • creative and proactive in initiating solutions to problems (thinks for himself)
  • flexible and resilient enough to handle stress in a rapidly changing environment
  • responsible and diligent to follow-through on assigned projects
  • self-disciplined to work hard without supervision
  • a servant’s heart willing to submit to authority, exhibit loyalty to the leadership and be a team player
  • consistent standard of excellence
  • takes instructions and feedback positively
  • desire for personal development
  • personal integrity, trustworthiness and honesty
  • makes wise use of the tongue and confronts gossip in a Biblical fashion

Position requirements for the team:

  • a demonstrated passion for students
  • formal Bible training for the teaching team
  • skills in recruiting, training and motivating volunteers
  • visionary leadership
  • gift mix of leadership/administration/teaching

Other:

  • The goal will be to find a Team Leader that will be a fully participating member of the church. This may or may not be possible at the execution of the contract but will be a stated goal. The rest of the team will most likely not attend New Song Community Church.  

 

POSITION RESPONSIBILITIES:

  • Lead and communicate the vision of a vibrant, life-changing, disciple-making, God-honoring Student Ministry to the church body.
  • Recruit, equip, and deploy leadership teams to carry out the plans of the various ministry initiatives of the Student Ministry.
  • Develop and maintain a strategic ministry plan that results in students accepting Christ, maturing in their faith, and becoming active servants in His kingdom (Win, Build, Serve, and Equip)
  • Wisely manage and develop the Student Ministry budget.
  • Evaluate potential student ministry opportunities with discernment as to their “fit” with NewSong’s Mission Statement, Core Values, and ministry strategy of Win, Build, Serve, and Equip.
  • Communicate regularly with the Senior Pastor, Board of Elders and church as a whole concerning the plans and progress of the student ministry.
  • Provide and/or oversee pastoral help and counseling for the youth of the church

 

Financial Agreement

 

* New Song will pay Youth Outreach United a monthly amount of $1,500 a month for services rendered. Youth Outreach United will employ the team and handle all payroll responsibilities for each team member.
