NewSong Board of Elders

Minutes of July 20, 2008 Meeting

The regular monthly meeting of the NewSong Community Church Board of Elders was held on Sunday, July 20, 2008, at 4:00pm. Present were Steve Jackson, Jerry Cauley, Vicki Eitel, Linda Blanchard, and Brian Brown.

Steve opened the meeting with prayer.

Pastor’s Report

The report was accepted as read, with Steve pointing out the following dates and events:

A.    Leadership Huddle July 27 after church with pizza lunch provided

B.     August 3, last date for budgets to be submitted

C.     Spiritual gift inventory to be administered during the service on August 10

D.    Month of September for congregation to complete ministry booklets

E.     Sept. 21st – annual church business meeting at 7pm

F.      October 1 – new church year officially begins with volunteer rotations. It was decided to make clear on the sign-ups that dates begin Oct. 1 and go through the next Sept. 20th.

Three new elders will be needed for the next church year. The resignation of Ed Densmore as and Elder was discussed. Ed’s resignation letter of June 10th was read.

Old Business

  1. Discussed Ed Densmore resignation as of June 10, 2008. Ed’s resignation leaves us with only five Elders. We also need a finance person to replace Ed in that capacity. We will hold an election to fill these positions.
  2. Senior Pastor Employment agreement – a copy of the revised agreement was given to each Elder, and slight changes that were made were pointed out.
  3. The dance studio next door may want to rent some of our space if their new building is not completed. This will be discussed more as the time draws nearer. All Elders agreed that we would be open to renting our space if needed.

New Business

  1. Finance/Land/Building – It was mentioned that the congregation would have to vote on the purchase and financing of any land. Unanimous vote of the Elders to:
    1. Proceed with search for land
    2. Set up an official building fund
    3. Set up a stewardship campaign (6 weeks) with the goal of raising $500,000.
  2. Bo Bowling internship at the church – Bo is a senior communications major at Kennesaw State. Steve was approached to see if NewSong would take Bo on as a communications intern. Bo could help in many areas such as the upcoming ministry campaign, stewardship campaign, website, etc... The job would involve 21 hours per week, with a salary of $300.00 bi-monthly. Unanimous decision of the Elders to proceed in this direction (Aug. 1 – Dec. 15).
  3. All Elders agreed to return for another year.
  4. The mentor list (Elder contacts with leaders) needs to be updated as of October 1 when the new ministries begin.
  5. How to proceed with increasing the number of Elders – It was agreed that two more Elders need to be added to meet our bylaw requirements. Vicki suggested that the congregation vote for two, plus an alternate, for a total of three additional Elders if needed. It was agreed that nominees need to be approached in advance to make sure they would serve if nominated and elected. We also need to provide a list of eligibility requirements for the congregation.

Other Business

  1. John Krauss has asked about the dates of Sept. 20-21 for a men’s retreat. Leigh will check the church calendar for any possible conflicts.
  2. July 27 – Nathan Green will be doing a monologue for the sermon that day; he has memorized the Sermon on the Mount.
  3. There was a brief discussion concerning Jordan Crossland’s work so far as our new worship leader.
  4. Vicki said that a member of the congregation had approached her with prayer needs concerning a financial situation. This led to a discussion as to how we as a church are to handle these situations. We will offer prayer and encouragement, but no financial help without discussion by the Board of Elders concerning each individual situation.
  5. Vicki mentioned that our youth room needs new carpet and at least one sofa needs to be disposed of. She will go to Jordan and Kristyn to discuss this and get their response.
  6. It was mentioned that the early service attendance is still low. We discussed if it is still helpful to continue the two services. We agreed to wait until after the summer is over to check figures before considering any changes.
  7. There was discussion about non-members teaching Sunday School. It was agreed that even if a person is not a member he/she may be eligible to teach as long as they are approved in advance as teachers by the Board of Elders.
  8. At this point the Board again discussed an ongoing situation between two member families. Brian Brown volunteered to contact both parties to ask them to sit down together with the Elders present to settle this.

Linda Blanchard will be the Elder of the Month in August.

The Board’s next meeting will be held on Sunday, August 10th at 4 P.M.

Respectfully Submitted,

Jerry Cauley
