NewSong Board of Elders

Minutes of October 22, 2006 Meeting

The NewSong Board of Elders met on Sunday afternoon, October 22, 2006 from 4:00 to 5:00pm at the Church office. Elders present included: Steve Jackson, Brent Orr, Brian Brown and Curt Sloyer. Pastor Steve opened the meeting with prayer.

Pastor’s Report

September saw the resumption of many of our programs including Sunday School and Mid-Week Bible Study, now renamed “Sunday Night Fellowship” since it has been moved to Sunday Nights. Attendance has been great for both these programs. After launching both these activities with over 60 in total attendance we have now leveled off at around 50-55 per Sunday. We held a congregational meeting on Sept. 17^th where we went over some of our plans for the year. Our sermon series for September was “God Calling” where we talked about a few of the calls God has on our lives.

Average YTD attendance through September dropped by one person from the previous month to 143. We had a low Sunday on Labor Day weekend of 90 and a high Sunday of 149.

Current membership statistics as of the end of September were 50 member families, 85 full (adult) members, 70 preparatory members and 28 constituent members for a total of 183 people. We lost two families during the month of September. The Stockdills withdrew their membership and the Mitchells were removed for inactivity.

Financially speaking, our revenues for the month of September were $20,523 and expenses were $20,274 meaning revenues exceeded expenses by $249 for the month. The year-to-date figures as of Sept. 30 were revenues of $186,371 and expenses of $194,475 meaning expenses have exceeded revenues by $8,104 year-to-date. Our Fidelity account balance at the end of August stands at $14,103. We have not had to dip into that account so far this year to cover current expenses.

The meeting proceeded with a discussion of old business and new business items.

Old Business:

• We agreed to and signed our copy of the lease option / extension for our space at Central Plaza to be mailed back to our landlord’s agent.
• We held a discussion about our continuing need to find a Children’s Director. Pastor Steve reported he has put out several “feelers” about this position including contacting the director of the Cumming Methodist preschool to have her circulate the position through her staff in hopes someone there would be interested in a part-time position. The volunteers at NewSong are doing a great job leading this ministry but the Elders still feel like we need to try to locate someone for this role.
• Curt Sloyer advised he has come up with a rotation for the building lock-up. He has come up with 8 parties who will perform this duty on a rotating basis so each one will only have to lock up once every two months. Curt will get a schedule to Mandy for publication. He will also let Mandy know if anyone needs a key to the building to perform their duty.

New Business:

• Pastor Steve advised Dave Allen now feels like he definitely needs to resign from his duty as an Elder (and all other duties) in order to dedicate more time to his family. He feels like his ministry is with his family for now. The Elders regretfully accepted Dave’s resignation. Dave’s resignation also leaves us with only three Elders plus Pastor Steve so we agreed we need to add at least two new Elders. Upon further review of the bylaws it was discovered there are always supposed to be a minimum of seven Elders, so we will need to elect three more. Pastor Steve will send out proper notification to the congregation of an Elder election to be held on Sunday, December 10, 2006 immediately following our morning worship service. We will open nominations effective immediately until November 10, 2006. Closing the nominations that day will allow a thirty day evaluation period for all candidates who are nominated.
• The Elders also shelved the idea of adding “Deacons” at NewSong since we are now expanding the Elders. We may revisit the idea at some point in the future.

There being no further business before the body, Pastor Steve was excused to go help with Sunday Night Fellowship set-up while the remainder of the Elders had a time of prayer.

The next meeting of the Board of Elders is tentatively scheduled for Sat. Nov. 11 at 8am.
